Plan by project
Commercial and public sites
Translate contract documents into approved materials, submittals, alternates, phased quantities, logistics, accessibility, testing, releases, and auditable closeout.
Before choosing
Turn the idea into useful details.
These are planning prompts, not engineering instructions or an installation guarantee.
- Control drawing, specification, schedule, revision, addendum, RFI, submittal, substitution, and approval status for every material line.
- Coordinate civil, landscape, structural, architectural, accessibility, irrigation, drainage, utility, traffic, and maintenance interfaces.
- Release materials by approved product, lot, quantity, phase, date, delivery route, offload, testing, storage, and responsible contact.
Create the document and approval matrix
List current drawing and specification sets, addenda, alternates, allowances, bid clarifications, RFIs, submittals, samples, mockups, test reports, substitutions, approved equals, and responsible reviewers. Link every material line to its controlling references and approval state. A supplier option remains proposed until the project's authorized process accepts it; a price does not establish compliance.
Coordinate systems across disciplines
Overlay grading, drainage, utilities, structures, foundations, waterproofing, paving, walls, planting, irrigation, lighting, furniture, fire access, pedestrian routes, accessibility, tree protection, and maintenance. Resolve elevation and material transitions, sleeves, embeds, clearances, sequencing, and responsibility before procurement. Conflicts discovered after bulk material or custom fabrication arrives are costly and may invalidate approvals.
Build a phased procurement schedule
For every phase and area, state approved product and variant, bid unit, quantity and takeoff basis, required documentation, lot or color control, lead time, release date, delivery sequence, staging, protection, offload, equipment, testing, and hold points. Keep base bid and alternates separate. Reconfirm availability and pricing at each release; do not imply reserved stock without written confirmation.
Verify installation and closeout
Inspect deliveries against approved records, tickets, quantity, damage, contamination, lot, and storage requirements. Preserve testing, observations, nonconformance, corrective work, samples, attic stock, maintenance data, warranties actually supplied, and final quantities. Train maintenance personnel on cleaning, replenishment, irrigation, drainage, safety, and replacement access. Closeout should show what was installed, not merely what was originally quoted.
Frequently asked questions
Can an unapproved equivalent be priced?
It may be shown clearly as a proposed alternate with documentation and commercial effect, but it must not be represented as approved or compliant.
Does Rio's catalog establish public-agency credentials?
No. Licensing, registration, insurance, bonding, vendor status, certifications, credit, past performance, and project eligibility require current supporting documents.
When should material availability be confirmed?
At pricing and again before each release, with exact quantity, product, lot needs, location, delivery window, and approval status. Earlier catalog visibility is not reservation.
